Genealogy Database
Examples and Design Outline

This page was last updated January 28th, 2008 ~ 3:42pm

This page will give a brief description of the ECS Genealogy Database. It will also show general architecture, basic layout and access requirements.

CURRENT STATUS and updates to site (updated January 2008)

The database is ONLINE!!! If you have any GEDOMs that you would like to add please send them off. I am continously adding and updating the online records. Please be sure to send your ECS member number with your new gedcoms, requests and updates.

As I said before our database includes thousands of individuals. It is a wonderful research tool for Elliot Clan members worldwide. In the "first release" or preliminary implementation stage, the database will be inclusive of USA trees/records only. I am still working on the ECS USA records (have about 10,000 to clean), but eventually (in the next year or so) will begin to add records from Ireland, Scotland, Engalnd and Australia (and others) so they may be uniformly joined worldwide. The aforementioned, will thereby allow for a much superior method for genealogical research. This project, when complete, will thereby converge individual family tree records nationally and then internationally. It will also result in homogeny of all genealogical records which obviously will be very helpful to all genealogists, whether layman or professional.

CURRENT STATUS and updates to site (updated October 10th 2007)

I’m happy to relate - The ECS USA member area is now up. Elliot Clan Society Members may now login and view informational articles, documents and research tools - which is available to ECS Members only! If you are a current ECS Member and would like a password just e-mail me. Please remember to include your ECS Membership number on all correspondence otherwise I will not open your mail. Your membership number can be found on your ECS card and typically appears on newsletters and other ECS correspondence that you receive.

ENTERING YOU DATA

Please send your information! If you don’t have your genealogy stored/compiled in a software program on your computer currently, but know of a relative who does, contact them and see if they would consider sending it to us!

If you already have your genealogy written (complete), but do not have computer access, you can send photocopies of the data that you currently have. You will find my address listed in the "Signal Tower". If you are accessing this page from a "public computer" and have questions you may e-mail me by setting up an e-mail account with Yahoo, This service is free and it only takes a few minutes.

If you don’t have your genealogy prepared yet and are just beginning follow the procedure outlined below. It begins with writing/compiling and assembling all data on paper. Use the forms (links listed below) to get started. There are two different forms you will need – the Lineage/Pedigree form which can be found in the ECS member area at ecsusa_pedigree_chart.pdf and the Family Group Sheet at elliotclanusa.com/ecs_usa_genform.pdf.

Begin this process with the Lineage/Pedigree form and fill in as much a you can there, starting with yourself and working back through your Elliot ancestors. Make sure to include notes as they will also be included in the online database too. If you have more than 5 generations, continue with another blank form. For each of the generations be as complete as you can. Be sure to follow outline as intructed on the page www.elliotclanusa.com/instruct.htm Then beginning with your own information fill out a Family Group Sheet for the parents and if possible all of their children, including your ancestor. If you need more copies of the form, make them before you start, or download them when needed. We will not include information on "living people" in our database online. You can easily remove information on those "living" when you export/save the data in GEDCOM format. To avoid confusion, (for hand written submissions) please write out dates as dd mmm yyyy – eg 2 Mar 1895. Then there can be no doubts about what they actually represent.

TECHNOLOGICAL DESIGN

Technologically speaking, the procedure for entry of records into the database will remain the same. We will still be utilizing the PAF (Personal Ancestral File) Software. For more information on procedure of how you may include your GEDCOM just go to Outline and Instructions for entering your files into our database (adobe PDF). Please feel free to contact me with questions or comments at: webmaster@elliotclanusa.com

THE CONTENTS OF OUR DATABASE

The Elliot Clan Database is a compilation a compendium you may say that contains information on thousands of individuals on Elliot ancestry and their associated spouses. The database trees within it are typically submitted utilizing Personal Ancestral File (PAF) software. Additions are constantly being made.

PRIVACY ISSUES

Obviously, privacy and security are foremost concerns when posting any type information online. Considering this, the genealogy online database will never contain information concerning people "currently living". We will of course need contact information regards to "submitter" of trees included, but this information will be assessable to ECS members only. There are many well-minded people doing genealogical research, but are always a small minority that wish to harvest names and other personal information, with less than proper intentions in mind.

If you have previously sent off information that is currently within the ECS database, be assured that we will comply strictly with the aforementioned. You are encouraged to supply us with your current e-mail address or other contact information. By doing this you will provide medium in which others searching our database may proceed regards to contacting you!

POSTING OF DATA, SUBMISSIONS & REQUESTS

Please be aware that the Genealogist/Webmaster provides these services on a volunteer basis to the ECS, therefore at times it may take a while before a response is received or records are posted and the like. To make additions, please follow outline as instructed. For those of you that wish to make changes to data previously submitted, please send your requests to the genealogist. Make sure to include your FULL NAME and ECS MEMBER NUMBER on all correspondence (especially e-mail, otherwise I will not open your mail). No charge is made for submissions or changes made to records within the ECS database, but a small fee/donation is KINDLY ASKED (please consider a donation if you access our database). Much time and effort has been involved to have our database online! Your donations will go to general fund for ECS (also will help to cover costs of software, space on the server and the like). Please support our clan with your donations - they are most welcomed!

NAME VARIATIONS (Eliott, Elliot, Eliot and Elliott)

The ECS has branches worldwide and each country has it's own "genealogist". Regardless of place in which you reside, those attempting to trace their Elliot lineage will soon become aware that names were often written differently (Eliott, Elliot, Eliot and Elliott) and in the early times Elwald was known to be used. It is important to know that for the most part the differing representation of the Elliot lines are believed to be connected and are at times interchangeable and their overall meaning can be found back in antiquity. For practical purposes, the database will be designed to treat all spellings of the "Elliot" the same.

ACCURACY & CORRECTNESS of OUR DATA

It is quite obvious then, that the database information that has been complied over the years is from a great many sources. When submitting please make sure to provide sources of accuracy such as census, tax, parish, or other record. The International Genealogical Index (IGI), is also a good source (accessed through http://www.familysearch.org/. In the UK for example, records of birth, baptism/christening, marriage and death were typically kept in "Parish Registers", until 1855. (Civil Registration program commenced after that date).

CORRECTIONS and UPDATES

All trees are scanned for correctness, then reasonable and logical assumptions have been made when discrepancies are found. Anyone discovering an inaccuracy should notify webmaster and the compiler (of attached PAF tree). An ongoing examination of documents, such as Census data, may as expected yield further information, which may at times be conflicting (as will original Parish Registers and the like). Please research your information in complete manner before initial submission or request for updates.

COPYRIGHT and DISCLAIMER

The information contained within the ECS Genealogy Database website should not be used for commercial purposes. Please comply with specific restrictions concerning usage notices, etc., that are to be found on individual pages within. Also please keep in mind, that although we strive to keep the information on our web pages accurate, we disclaim any warranty or representation, express or implied about its accuracy, completeness or appropriateness for a particular purpose. Thus, you assume full responsibility for its use and thereby agree that neither ECS as an organization nor any of its maintainers or providers are responsible or liable for any claim, loss or damage as consequence. It is the individual submitter of said entries that control overall accuracy and content.

PLEASE HELP BY SENDING YOUR TREES

If information on your line (family tree)is not currently in the Elliot Clan Genealogy Database, it should be. It would be most helpful and greatly appreciated if you would take the time to submit it! Be assured that the database is there solely to help individuals learn more about their Elliot Clan heritage. The fundamental overlaying objective of the "Genealogy Project", is to promote a spirit of kinship with members all over the world.

Thank you for your cooperation. Make sure to check this site periodically for "current" status of the project!

Sincerely,
Dee Elliott-Wakefield
